Video Request Guidelines
Advance Notice
- Timeline: Submit video requests at least 4-6 weeks in advance for standard projects. For larger projects (e.g., events or fundraising campaigns), aim for 2-3 months.
- Urgent Requests: If a request is urgent (less than 4 weeks), please provide a reason for the timeline so we can assess feasibility.
Video Request and Planning Forms
- Planning Template Submission: There is a two-step process for submitting a request. No projects will be considered until both of these forms have been completed.
- First, fill out the Photo or Video Request Form (this can also be accessed at https://faith.edu/communications).
- Second, fill out the Video Planning Form. This will help us clarify your objectives, audience, and key messages.
- Detailed Information: The more information you provide at the start, the better we can plan resources and create an impactful video.
Content Approval Process

- Pre-Approval from Leadership: If content needs leadership approval, ensure it is approved before the project begins. Any input from leadership needs to be obtained before projects begin.
- Strategy Session: All promotional and announcement videos will require a meeting with the Director of Videography before projects are approved. This meeting will review the responses provided on the Video Planning Form and set expectations for the purpose, content, and production of the videos.
Content and Resource Provision
- Scripts: Scripts may be suggested, but the content of the scripts will be determined during the Strategy Session. The most efficient process is for you to allow us to write the script after completing the Video Planning Form. Once we draft the script or storyline, we will share it for feedback. This is the stage where adjustments should be made before filming. Review the Content Planning Guidelines for help with content.
- Pre-Arranged Resources: Provide access to any necessary resources, including suggestions for interviewees, location arrangements, or visuals that might be featured.
- Additional Content: Any written content, statistics, or graphics that might be included in the video should be provided at the start.
Video Length and Format Guidelines
- Audience-Based Lengths: Shorter videos (30-90 seconds) are ideal for social media, while longer ones (2-4 minutes) may be used for presentations, web pages, and YouTube. The Director of Videography will make the final call on the appropriate length for each video.
- Format Specifications: Format needs (e.g., landscape, portrait, square) will be determined based on the distribution platforms to be used.
Distribution and Promotion Plans
- Marketing Strategy: Have a clear plan for how and where you intend to share the video. We can help tailor the video format to meet the specific needs of different platforms if we know the intended distribution. Furthermore, we may adjust the content and the length of the video so that it is optimized for your desired distribution channel.
- Coordination with Our Team: Let us know if the video will require special scheduling or cross-departmental communication.
Final Edits and Approval
- Feedback Limit: There are no revision limits, but please focus on clear, actionable feedback for each requested revision. Each revision must align with the stated purposes and expectations set during the Strategy Session. Additional revisions may extend project timelines/deadlines.
Approval Timeline: Please strive to provide approval or any changes within 48 hours of receiving a draft to avoid delays.
